Instructions for Presenters

Instructions

This year, the conference will be hybrid.  You may give your talk in person or remotely (if necessary).  The videos will be used in the case of technical glitches to cater to those in different time zones and to support the sharing of your work.

Please submit your video via our form.

For In-Person Presenters:

  • Please upload your slides to your session’s folder in this Sharepoint drive until July 08.
  • Google Slides and other online slide systems are accepted as well. In that case, please upload a text file with the URL to your slide deck.
  • The presentation will be shown on a Windows machine, so please test your slides on a Windows system before uploading them.
  • Poster presenters do not need to submit slides.

For Remote Presenters:

  • Please ensure your slides are ready for screensharing in Zoom before the start of your presentation to ensure a seamless transition.
  • If possible, please use a headset during your presentation to improve in-room audio.
  • Please be ready to test out your slides and screenshare during the break preceding your session.
  • Note that automatic captioning will be enabled during remote presentations.
  • Poster presenters do not need to submit slides.

Video & Presentation Time Limits

Please note that only one author should submit a video link per paper. This will be the presenter for the paper.

Posters: Each poster will deliver a 30 second lightning talk. Presenters will also stay with their poster to explain the work and answer questions during the entire poster session in which their poster is scheduled (~90 minutes). Videos should be between 2 minutes and 4 minutes long.

Poster presenters are responsible for printing their physical poster and bringing it to the venue.

Industry Track & Short Papers: Each paper will be given 8 minutes to present the work and 4 minutes for questions (12 minutes total). Videos should be between 5 minutes and 8 minutes long.

JEDM & Full Papers: each paper will be given 12 minutes to present the work and 5 minutes for questions (17 minutes total). Videos should be between 5 minutes and 12 minutes long.

Poster Format

Posters should be size A1 and use a portrait orientation.

EDM Guidelines for Authors and Presenters

These guidelines are based on the tips provided by CMD-IT for the Tapia Celebration of Diversity in Computing.

  • Preparing Slide Decks for Accessibility
    • Choose a color scheme with strong contrast (e.g., a white background with black or dark blue text) and large sans serif fonts.
    • Use texture and/or shapes in addition to color in order to communicate information in charts and graphics.
    • Avoid flashing content or complex animations.
    • Captions should be displayed with all videos and images.
      • Silent videos are not accessible to people who cannot see the screen, and videos without captions are not accessible to those who cannot hear.
  • Accessible Presentation Tips
    • Face the audience.
    • If participating remotely, ensure that you are well lit. Backgrounds should be solid and non-moving. Use a headset if possible to allow for higher quality audio.
    • Speak clearly, distinctly, and at a reasonable pace so that sign language interpreters can follow along.
    • Speak all content on your slides.
    • Use the microphone.
    • Require those in the audience who ask questions to use the microphone.
    • Turn on live transcript settings in Zoom
    • Include captions for video recordings
    • Stay in front of the podium (camera) for livestreamed presentations
  • Accessible Poster Design Tips
    • Use large, sans serif fonts.
    • Select a high contrast color scheme.
    • Caption or title all images and graphics.
    • Be sure to provide alt text for any images.
    • Consider providing a text only version of the poster for blind or low vision attendees.
